We are seeking a highly organized and client-focused Project Coordinator to join our growing team. In this role, you will play a key part in ensuring smooth project delivery, exceptional client communication, and efficient coordination across internal teams and external partners in a fast-paced environment.

Key Responsibilities:

Serve as the primary point of contact for clients, understanding their needs, providing regular workflow updates, and delivering project status reports.
Interface regularly with clients to resolve issues and maintain strong relationships.
Schedule and manage day-to-day activities and responsibilities of the project team and third-party vendors/partners.
Provide technical guidance and direction to both internal teams and customers.
Accurately complete, submit, and archive all required service documentation in a timely manner.
Prepare documentation and coordinate submissions with building permitting agencies (HOA, CDR, and other relevant authorities).
Plan, execute, and finalize project schedules according to strict deadlines and within budget.
Develop, maintain, and manage detailed project schedules to meet or exceed customer expectations and promised timelines.
Continuously identify process improvements and implement efficiencies.
Ensure the quality and completeness of all work performed meets or exceeds customer expectations.
Assist upper management with additional tasks and projects as needed.

Qualifications & Requirements:

4+ years of prior work experience in project management or project coordination.
2–3 years of direct client relations/customer-facing experience.
Experience in Architectural, Engineering, or Construction (AEC) fields is preferred but not required.
Strong verbal and written communication skills with the ability to interact professionally with clients and team members.
Proven ability to work collaboratively within project teams.
High level of accuracy and strong attention to detail, especially in project and schedule creation/maintenance.
Demonstrated commitment to prioritizing customer satisfaction.
Excellent time management skills with the ability to meet project deadlines and deliverables consistently.
Strong problem-solving skills — ability to identify conflicts, issues, and develop effective solutions.
High flexibility and adaptability to changing project requirements and priorities.
Working knowledge of Trello, BIM, or CRM software is preferred.
Working knowledge of HOA/CDR/Building permitting agencies review and submission processes is preferred.
