Job Summary

The Security Deposit Disposition Specialist is responsible for accurately preparing, reviewing, and processing security deposit dispositions for residents who have vacated properties. This role ensures compliance with state and local regulations, company policies, and owner guidelines while maintaining fairness, accuracy, and clear communication. The position also manages resident disputes related to security deposit deductions and works collaboratively with property owners to resolve concerns.

Key Responsibilities

Security Deposit Dispositions

Prepare security deposit dispositions for move-out residents in accordance with legal timelines and company policies.
Review and analyze move-in and move-out inspections, including before-and-after photos and videos.
Evaluate invoices, vendor charges, and repair costs to determine appropriate deductions.
Consider length of residency and normal wear and tear when calculating charges versus refundable amounts.
Ensure all documentation supporting deductions is complete, accurate, and properly stored.

Dispute Resolution

Handle resident disputes related to security deposit deductions in a professional and timely manner.
Re-review dispositions, documentation, photos, and invoices when disputes arise.
Communicate with property owners to discuss disputed charges and determine whether additional refunds are appropriate.
Provide clear, written responses to residents explaining final decisions and supporting documentation.
Maintain a consistent and fair approach to dispute resolution while protecting owner interests and legal compliance.

Communication & Compliance

Communicate effectively with residents, property owners, internal team members, and vendors.
Ensure all security deposit handling complies with state and local landlord-tenant laws.
Track deadlines and ensure refunds and statements are issued within required timeframes.
Identify patterns or recurring issues and recommend process improvements when applicable.

Qualifications

Previous experience in property management, accounting, or security deposit processing preferred.
Strong attention to detail and ability to review documentation objectively.
Knowledge of landlord-tenant laws related to security deposits (or willingness to learn).
Excellent written and verbal communication skills.
Ability to handle disputes professionally and empathetically while remaining firm and consistent.
Proficient with property management software, document management systems, and basic accounting tools.
