Role Overview

Buttram Associates is a high-stakes litigation firm specializing in personal injury and civil law. We are seeking an elite Senior Executive Assistant to act as the primary "Force Multiplier" for our Managing Partner. This is not a typical administrative role; you will be the air traffic controller for a fast-paced legal practice, managing complex litigation cycles and high-level firm operations.

Key Responsibilities

Strategic Inbox & Calendar Mastery: Ownership of the Managing Partner’s schedule; prioritizing high-value litigation meetings, court appearances, and depositions while shielding the Partner from low-priority interruptions.
Litigation Support: Managing the lifecycle of case files within our CRM (Clio/Filevine). Ensuring all Texas court deadlines, filings, and discovery requests are tracked and met without exception.
Executive Correspondence: Drafting, proofreading, and formatting professional legal documents, pleadings, and high-level correspondence with opposing counsel and clients.
Project Management: Leading special firm projects, from coordinating remote team retreats to implementing new legal tech workflows.
Client Gatekeeping: Acting as the professional face of the firm for high-net-worth clients and stakeholders, ensuring every interaction reflects our firm’s standards.
Travel & Logistics: Coordinating complex travel for trials and depositions, including lodging, transport, and detailed digital itineraries.

Qualifications & Requirements

Experience: Minimum 5–7 years of experience supporting C-Suite Executives or Managing Partners (Legal experience in Personal Injury/Civil Litigation is heavily preferred).
Technical Expertise: Mastery of Microsoft 365 (Expert-level Outlook/Word/Excel), Slack, Zoom, and Legal Case Management software (Clio, MyCase, or similar).
The "Intangibles": High emotional intelligence, absolute discretion with confidential data, and the ability to anticipate needs before they are voiced.
Reliability: A dedicated, secure home office with high-speed fiber internet and a professional background for video consultations.
Education: Bachelor’s degree preferred; Paralegal certification is a significant plus.
