Onboarding checklist for remote employees

This guide lists the essential items you should verify. Use it as a baseline when creating your own checklist.

  • How to use this onboarding checklist
  • Why does the employment onboarding process matter so much?
  • Onboard remote hires with Remote

How to use this onboarding checklist

When you take on a new team member, the onboarding phase becomes critical. A positive first experience reassures the employee they made the right decision; a poor one can have the opposite effect.

For hires working remotely, the onboarding experience is even more important. Without the chance to welcome them in person or immerse them in your workplace, you must adapt certain practices and pay closer attention to details.

An onboarding checklist provides a simple template to deliver a consistent experience for remote hires and to scale the process as your organisation grows.

Drawing on Remote’s extensive experience onboarding employees, below are the principal tasks and processes to prioritise:

Arrange introductory callsRemote employees often experience greater isolation and siloing than office-based staff. As a result, you must work harder to build a sense of belonging and team cohesion.Informal sessions aimed at creating social connections can deliver strong returns: higher engagement, better productivity and improved retention. They also help new hires feel welcomed and more comfortable reaching out for support.

To-dos:

  • Schedule — or encourage the hire to schedule — 1:1 video calls with teammates and cross-functional partners

  • Organise casual, virtual team introductions such as coffee chats and happy hours,

    or lunch meetings

  • Designate an onboarding buddy to help the new employee settle in

  • Share personality or work‑style assessments and review the results with the team online

  • Encourage 'personal shares' where the new hire presents their hobbies and background to colleagues

Highlight key policiesAvoid handing over a dense policy manual and calling it done. Point out the policies most relevant to remote staff, such as time off, expenses and equipment.

To-dos:

  • Prepare and distribute concise policy briefs, codes of conduct and training materials

  • Hold virtual sessions or record Loom walkthroughs covering remote‑specific policies, for example reimbursements for home‑office expenses

  • Explain applicable cybersecurity and digital‑asset policies

  • Outline information‑protection and data‑privacy rules

  • Allow space for asynchronous discussion on policy interpretation for distributed teams

Include self‑service components so the hire can complete onboarding asynchronously at their own pace. If you adopt this approach, create a self‑serve checklist for the employee to follow.

Explain collaboration tools and communication flowsRemote workers depend heavily on software and tools to collaborate and manage workflows. Without the opportunity to look over a colleague’s shoulder or ask quick, in‑person questions, new hires must become self‑reliant quickly.Explain the purpose of each tool they will use, and provide self‑serve guides and user documentation.

To-dos:

  • Produce step‑by‑step guides for logging into essential systems and accounts

  • Demonstrate, asynchronously if required, how various tools integrate and operate together

  • Show how the hire’s team uses project‑management systems (where applicable)

Explain how your communication channels operate, especially for hires new to remote work.

To-dos:

  • Set clear expectations for online hours and availability

  • Provide guidance on email, chat and meeting etiquette

  • Explain norms for response times and when to use video

  • Share best practices for calendar management

Clarify roles and personnelNew hires need clarity on their tasks, who they will work with and what is expected of them. Clearly differentiating their responsibilities from those of colleagues reduces confusion. Also set expectations for response times, meeting cadence and availability. For example, employees in the US will typically start their day later than those in Europe; if the hire will work across time zones, explain how coordination will be handled.To-dos:

  • Outline regional versus centralised responsibilities

  • Record expectations for response times and meetings in your handbook and welcome emails

  • Identify the main regional contacts and stakeholders

Communicate your company’s cultureFor remote workers, the subtleties of your company culture — unwritten rules, inside jokes and workplace rituals — are harder to pick up. Ensure the hire is briefed from the start.

To-dos:

  • Email new hires a staff handbook explaining the company’s culture, values and work environment

  • Explain company terminology, acronyms and traditions

  • Send remote workers company swag, such as shirts that display slogans or value statements

Plan beyond the first dayRemote staff miss out on organic learning opportunities from overheard conversations or impromptu peer mentoring in an office. A structured onboarding journey compensates for that. For example, remote workers miss out on informal learning moments that occur naturally in an office. A structured onboarding plan helps bridge that gap.

To-dos:

  • Establish 30–, 60– and 90–day milestones and performance goals that encourage new hires to own their development paths

  • Schedule check‑ins to review progress and identify any barriers new hires need to overcome

  • Provide training on skills required for the role, such as product knowledge

  • Connect new employees with a mentor to discuss acclimation, strengths and development areas

  • Conduct regular engagement and onboarding satisfaction surveys

Use data

Without face‑to‑face interaction it is harder to read non‑verbal cues and sentiment. That makes it difficult to assess whether onboarding resources are resonating with remote staff, and increases the risk of managers making incorrect assumptions. Data provides insights that reduce guesswork.

To-dos:

  • Run weekly polls on experience, challenges and needs

  • Use learning management systems (LMSs) to track training completion

  • Measure the time required for new hires to reach full productivity in their roles

  • Collect feedback on new hires’ preferred communication methods

Data addresses the visibility gaps of remote work, helping to ensure your onboarding process meets the needs of hires you do not meet face‑to‑face.

Why does the employment onboarding process matter so much?

A personalised and well‑structured onboarding process can help your new employee develop a sense of belonging in numerous ways.

A successful process is more than a welcome pack or branded swag. An effective onboarding programme can:

  • Foster meaningful working relationships that enhance engagement

  • Build strong cultural alignment among new employees and help them connect with your business objectives

  • Enable new employees to connect with your mission and vision, encouraging initiative rather than passive compliance.
