An employee identification number (also known as an employee ID number) is a unique identifier assigned to each employee within a company’s HR, payroll, or workforce management system. This number helps employers track employment records, payroll, benefits, and internal documentation without relying solely on personal information like names or Social Security numbers.

What is the purpose of an employee ID number?

Employee ID numbers improve accuracy, efficiency, and data privacy across HR functions. They are commonly used to:

  • Link employee profiles across HRIS, payroll, and benefits platforms

Is an employee ID Number the same as a tax ID or Social Security number?

No. An employee ID Number is internal to the company and used for administrative purposes. It is not the same as:

  • A tax identification number (TIN) used for government reporting
  • A Social Security number (SSN) in the U.S.
  • A National Insurance number (NIN) in the UK
  • Or any government-issued ID used for official tax or employment verification

Who assigns the employee ID number?

Employee ID numbers are typically generated by an employer’s HRIS or payroll system at the time of onboarding. Employers may use simple sequential numbers or structured codes that include location, department, or job level indicators.
